Schedulings

Communication → Schedulings gives you one honest view of every meeting your team has booked — past, in-progress, and upcoming — so nothing quietly falls off the calendar. It's also where meetings get closed out, and closing one out does more than tidy the list: it's what sends the client their satisfaction survey.

Filters

The filters above the list narrow the view to whatever you're working on right now:

  • All — every meeting on record
  • Upcoming — meetings booked for a future date
  • Today — meetings happening today
  • In progress — meetings whose scheduled window is running right now
  • Past — meetings whose scheduled time has already gone by, including everything marked Completed
  • Cancelled — meetings that were called off, including anything Denied

There are six filters but six statuses that don't map one-to-one, so two are worth knowing: Completed meetings live under Past, and Denied bookings live under Cancelled.

Meeting Statuses

Every meeting carries one status, shown on its row:

Searching

The search bar finds a meeting by client, phone, or address. Address search is the fastest way to pull up everything booked at one location when you're planning a day of visits.

What Each Row Shows

  • Date — the day the meeting is booked for
  • Time — the booked start time
  • Address — where the meeting takes place, taken from the scheduling location

Row Actions

Each row carries three actions:

  • View on map — opens the meeting's address on a map, so your team can see where they're going before they leave
  • Open chat — jumps straight to that client's conversation in Chats, with the full history and context behind the booking
  • Mark completed — confirms the meeting took place, moves it to Completed, and sends the client their satisfaction survey

Marking a Meeting Completed Sends the Survey

This is the single most important thing to know about this page.

Remo does not guess whether a meeting happened. A meeting that simply passes its date and time stays where it is — the survey does not go out on a timer. The client only receives their post-meeting survey when someone on your team clicks Mark completed on that meeting.

So if you're asking why didn't my client get a survey?, the answer is almost always that the meeting was never marked completed.

There's a subtlety worth knowing here. A meeting whose date has simply passed is shown as Completed in the list, even though nobody confirmed it. The way to tell the two apart is the row itself: if Mark completed is still offered, the meeting was never actually confirmed and no survey has gone out. So a list full of Completed rows is not proof that your clients were surveyed.

Only Mark Completed Triggers the Survey

No other status sends it. Cancelled and Denied meetings never generate a survey, and neither does a meeting that quietly ages past its date. If your team stops marking meetings completed, your survey data stops — silently.


Cancellation and Denial Reasons

When a meeting doesn't go ahead, the reason is kept with it rather than lost in the chat:

  • Cancellation reason — recorded when a booked meeting is called off, and shown on the meeting itself
  • Denial reason — recorded when a booking request is turned down instead of confirmed

Both stay attached to the meeting, so you can look back over a month of cancellations and see whether you're losing meetings to scheduling conflicts, price, or something you can actually fix.

Where Meetings Come From

Meetings reach this page two ways:

  • Booked by the bot — the bot sends the client a scheduling link, and the client picks a location, date, and time. The locations, days, and time windows on offer come from Configuration → Scheduling.
  • Booked manually from a chat — your team books, reschedules, or cancels a meeting directly inside a conversation. See Managing Chats for how that works.

If meeting scheduling is switched off for your project, the bot doesn't send a scheduling link at all — it hands the client to a human agent instead, and any booking is made manually from the chat.

Close Out Meetings the Same Day

Make marking meetings completed part of your team's end-of-day routine. Surveys reach clients while the visit is still fresh, response rates hold up, and your Survey Results reflect what actually happened rather than whichever meetings someone remembered to tick off a week later.
